Summary of Procedures #13

— Sample Solicitation Letter for
Advancement to Step VI —

The Council on Academic Personnel requests that letters soliciting extramural evaluations for appointment and promotion to Associate Professor or Professor in the Regular Professorial Series indicate these are tenured positions within the University of California System. Such a statement should be added, where appropriate, in the first paragraph of the following model formats.

Dear Professor _________________________:

Under University of California academic personnel policy, special recognition may be granted to faculty who demonstrate great distinction in research or teaching. This entails consideration of the individual’s achievements over his/her entire academic career.

The Department of ______________________ has under consideration the advancement of Professor ______________________ to this special status.

Departmental custom and University policy require that extramural evaluation of the scholarly and professional contributions of a candidate for such advancement be secured from recognized authorities outside the University in order to supplement the institutional record and provide reviewing authorities with an independent assessment.

Accordingly, I am writing to request that you provide me with: (1) your analysis and evaluation of Professor _____________’s scholarly or creative contributions, with particular reference to their originality and significance; and (2) any information you have regarding the quality of his/her teaching. In addition, I would appreciate your comments on his/her standing within his/her discipline, and on any other aspect of his/her professional distinction with which you may be familiar. It would be particularly helpful if you would compare him/her with others in the field.

[incorporate statement on confidentiality or include on a separate page]

For your convenience, I am enclosing copies of Professor ____________’s complete bibliography and latest publications.

Your assistance in providing this analysis will be greatly appreciated.

Sincerely,
