Limit on Titles

Periods of service on any campus of the University of California in any combination of the following titles count toward the eight-year limit in determining the status of an Assistant Professor.

  • Assistant Professor

  • Acting Assistant Professor

  • Visiting Assistant Professor

  • Acting Associate Professor

  • Acting Professor

  • Assistant Professor in Residence

  • Assistant Professor of Clinical (X)

  • Assistant Professor Clinical (Comp)

  • Assistant Adjunct Professor at more than 50% time

  • Lecturer (PSOE)

  • Senior Lecturer (SOE)

Appointment at any percentage of time including 0% (WOS) counts toward the eight-year limit, unless the 0% (WOS) appointment is also Without Step.

Years of service are calculated over a lifetime on any campus.

Any break in service, whether because of leave without salary or because of resignation and subsequent re-employment, does not invalidate the counting of service prior to the interruption.

Temporary Transfers

Temporary transfers or temporary changes of status from the Assistant Professor rank of any series to any other titles listed above, shall be regarded as periods of academically related leave and shall be included as service toward the eight-year period.

For the Regular Professor series, temporary transfers from Assistant Professor to Assistant Researcher are counted toward the eight-year limit period.

Timing of Review

Review for consideration of promotion is required during the seventh year of service which counts towards the eight-year limit. Exclusion of one or two quarters (or one semester) from the probationary period will not necessarily affect the timing of the review.

For Academic-Year Appointees:

  • Three quarters of service in a year count as one year;

  • two quarters of service in a year count as one year; and

  • one quarter of service in each of two or three years counts as one year.

For Fiscal-Year Appointees:

  • Twelve months of service in a year count as one year;

  • six months or more of service in a year count as one year; and

  • less than six months of service in each of two or three years and totaling six months or more count as one year.

Impact of Leave of Absence

Periods of leave, whether With or Without Salary, shall be included as service toward the Eight-Year Limit unless, upon the basis of a petition filed at the time the leave is requested, or in the case of sick leave, within one quarter or semester after the leave is taken, the Chancellor determines that the activity undertaken during the course of the leave is substantially unrelated to the individual’s academic career.

Periods of leave excluded from the count of service toward the Eight-Year Limit will be excluded from the count toward appraisal, merit increase and rank and step.

Periods of leave, With or Without Salary, in the year in which the Eight-Year Limit promotion review is otherwise scheduled, normally will not postpone that review.

Stopping the Tenure Clock for the Care of a Child

  1. Upon request of a faculty member who has substantial responsibility for the care of a newborn child or newly-adopted child under age five, time off the tenure clock of up to one year may be granted by the Chancellor for each event of birth or adoption during the probationary period provided that all time off the tenure clock totals no more than two years in the probationary period. The tenure clock may be stopped more than one time during the probationary period.

  2. Each request for time off the tenure clock must include a written statement by the faculty member certifying that he/she has substantial responsibility for the care of the child or children. Requests for time off the tenure clock must be made within two years of a birth or adoption.

  3. The provision to stop the tenure clock may be invoked even if a faculty member with substantial childcare responsibility as described in Section 133-17-h(1) does not take a formal leave or have a modification of duties.

  4. This authority of the Chancellor may not be redelegated.

  5. For determining years toward the eight-year limitation of service, the combined total of periods of leave unrelated to academic duties and time off the tenure clock may not exceed two years.
